Title: Finance and Operations Associate – Polio Project Portfolio

Location: Kinshasa, DRC

The specificity of the polio portfolio, classified as an emergency program, lies in the multiplicity of projects and budgets designed to support the different components of the program.  The Financial Associate must navigate between the different budgets of the projects in the portfolio for which he or she will be responsible for daily maintenance, and have a sense of proactivity, pay close attention to detail, and handle the budget monitoring and control tool with dexterity. He will work very closely with BMGF team and partners, such Mc King consultants, to ensure smooth execution of activities and processes until completion of objectives and tasks. This position plays the pivotal role within the project’s Finance team and reports to the Director of Finance and Administration to assist him in the development, monitoring and control of budgets related to the implementation of the Polio program. The incumbent will be the financial focal point for the BMGF Polio projects in DRC.

The finance associate should ensure full alignment/understanding with BMGF and Mc King consultants’ orientations regarding projects objectives and deliverables and all actions taken should be compliant with donor’s terms and conditions and PATH policies and procedures.

Responsibilities:

  • Update budgets in Business World: Enter initial budgets, make any changes related to changing program forecasts, and activities as requested by BMGF and partners
  • Monitor the financial execution of donor and implementing partner requests
  • Perform weekly financial analyses by comparing budgets to expenses and identify variances and explain them
  • Make budget adjustments in BW: personnel costs and other current expenses
  • Manage COUP payment requests and ensure the immediate execution of actions concerning this emergency team
  • Manage requests for financial support for EPI activities and ensure timeliness in the processing of accounting transactions and payments
  • Propose a system to improve the processing processes for partner applications in order to reduce processing times
  • Make financial projections in Prop Bud
  • Enter transactions into BW and make the necessary reclassifications to rebalance the budget accounts
  • Follow up with the assistant program on workshop expenses and verify reconciliations
  • Track the payment of all invoices received from suppliers of Polio projects in the BMGF portfolio

Required Experience:

  • Bachelor’s degree in finance and accounting
  • Minimum three (3) to five (5) years of experience acquired in an accounting firm or in a company, preferably with international NGOs
  • Advanced Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint
  • Ability to work with multiple teams across diverse background
  • Strong analytical & organizational skills
  • Adaptable to changing priorities
  • Effective time management.
  • Experience working under deadlines
  • Proven ability to work in a team environment with minimal supervision
  • Fluency in French and English, including excellent written and oral communication skills
